Terms & Conditions
Before confirming your booking at Thornfield Camping Cabins please take time to read the information below. It includes vital information regarding the amenities and services on the site along with cancellation policies which will assist you with planning your holiday.
Payment Policy
To secure your booking payment is required at the time of the booking. We do not accept provisional bookings therefore do not make a booking unless you are able to honour it. We accept most major credit & debit cards.
Cancellation / No show policy
In the event of cancellations or no shows we do not offer any refund (full or partial). However, if more than 48 hours’ notice is given, we may, at our discretion, offer an alternative date suitable to you subject to availability. Please note: the booking will only be changed once and must be taken within 12 months of the original booking. (A change to a booking date will incur an administration charge of £25.00).
Booking Requirements – Lead guest making a booking must be 21 years old
We do not accept bookings from anyone under the age of 21. We reserve the right to request proof of age if we suspect that you are under the minimum age for our site.
Travel Insurance
It is strongly advised you to take out the appropriate travel insurance so you can have peace of mind that your costs will be covered, should you need to cancel your holiday for any reason.
Group Bookings
Should you wish to book several cabins for a special occasion then please contact us to discuss your requirements: enabling us to determine the suitability of your group for our site. The maximum group booking size is 3 cabins with no over occupancy. Please refer to the Rates and Availability page on the website for the maximum occupancy of each type of cabin.
Force Majeure Clause
The Glamping Site are not liable for refunds or expenses you incur in the event they are prevented from fulfilling your booking because of circumstances beyond their control. Such circumstances shall include (but not be limited to) war, terrorism, riots or civil unrest, industrial action, flooding, natural disaster, epidemics, health risks or such similar events ("Force Majeure"). We recommend that you have adequate holiday insurance in place to cover this.
Children under 16 years of age
 Parents are responsible for their children, and children MUST be supervised at all times.
 
 Access to Cabins
 Thornfield Camping Cabins reserves the right to enter and inspect the PODS at any time.  Should the heating be left on at an excessively high-level causing condensation in the cabin we will enter to turn the heat down and clean the condensation from the glass.
Cabins left in a poor condition
Any cabins not left in a tidy manner may lead to an additional cleaning fee of £50.00 charged to your booking.
- Please wash up your crockery and cutlery and empty your bins.
Consider your environment!
Please try to recycle as much as possible. We have plenty of clearly labelled recycling boxes. Should you have perfectly good food that is unopened, and you do not wish to take it home please leave this in the utility room and we will plan to dispose of it accordingly. (Please consider the environmental impact on what you use and what you waste)
Hot Tubs
The minimum stay for hot tub hire is strictly 2 nights. Anyone who decides to leave the site after one night regardless of whether 2 nights have been paid for or not will be asked to pay a hot tub breach of rule fee of £50 in cash before leaving the site. Should we find that you have left, and this has occurred you will be added to the list of those that we will not accept bookings from in the future. Please ensure you read the website hot tub page which clearly explains why we take a strong stance on this matter.
Arrival/Departure Procedures
 All visitors must report to Thornfield bungalow on arrival, and you will be shown to your POD, unless alternative arrangements have been made. 
- Check in time is between 4.00pm – 8.00pm
- Late arrivals after 8.00pm must be arranged in advance.
(Strictly no check ins after 9.30pm)
- Check out is: 10.00am Prompt
On check out please leave your key in the cabin door.
Unloading/Parking
(Please do not drive or park on any grass areas)
Vehicles may unload as follows:
- (Fox, Pheasant & Owl) Down the road at the far end lay-by access gate.
- (Deer, Squirrel & Badger) Via the ramp access to the PODS nearest to the bungalow & car park area.
Once unloaded we have a designated parking area to the right-hand side of the bungalow. (Please reverse into your parking bay) aligned with the hedge or as directed.
- Bays 1, 2 or 3 – small vehicles
- Bays 4, 5 or 6 – larger vehicles
If you have an electric vehicle, please park as directed by staff.
Dogs
Well behaved dogs are welcome (maximum of two small to medium size) but MUST be kept OFF the furniture, on a lead and under control always whilst on site. Dogs are the owner’s responsibility and must not be left unattended in the POD at any time. Bag your dog waste and dispose of in the large green general waste bin.
In the best interest of safety for children and other guests on site and as we have our own pets / free range poultry; it is imperative that the above rules are strictly adhered too. (If you cannot abide by these simple rules then please do not bring your dog).
Note: Pheasant & Owl pods are pet free cabins. Anyone who brings a dog into these cabins will incur a £30 additional cleaning charge payable in cash before leaving the site for breach of the pet free cabin rule.
Flouting of these rules which results in the need for us to be clearing the site of dog waste then we may have no alternative but to potentially exclude dogs from the site which we do not wish to do.
Smoking
There is absolutely no smoking permitted either in the PODS or on site. The only place we will permit smoking, and this includes e-cigarettes is at the far end paddock gate beyond "Fox" pod. Please ensure you put all cigarette butts in the bin provided which is attached to the fence just inside the gate.
Complaints Procedure
If you have a problem with your accommodation during your stay, please advise us as we would like the opportunity to resolve it as soon as possible.  Please let us know of any damage, breakages, or maintenance issues that you come across.
 We take all comments from our guests seriously and in the unlikely event that you wish to make a complaint you can contact us by telephone or email, and we will respond.  We will try to resolve any issues as soon as possible.
Code of Conduct
We expect all our guests to respect and look after the site and the POD that you are staying in.  We also require you to respect your fellow guests and keep noise levels to a minimum after 8.00pm.  We have a noise curfew between 10.00pm & 7.00am.
 
Criminal Damage/Theft
 Should the cabin be left in an unsatisfactory condition; or deliberately damaged in any way we reserve the right to charge costs to the payment method on booking.  This also includes the theft of items from the cabins. Action will be taken if necessary and incidents WILL be reported to the police and has been in the past.
Liability
We accept no responsibility for any loss or damage that may occur to your car or associated property whilst on Thornfield Camping Cabin site, except where such loss or damage has arisen because of our negligence of a breach of our duty to you.
When you submit a booking via our online reservation system you will receive an automatically generated booking summary by email to the email address you provide in the booking form. This does not form a contract between us. A contract shall only arise when your booking is subsequently checked and confirmed by us in a further follow up email.
